SMI Credential System FAQ

 

Q: Why am I not seeing the event I am wanting to attend?
A: There are usually two reasons for this:  The event has not been released to the public for registration yet or you do not have access to the facility that is hosting the event.  To make sure you have access to the facility go to Account Information and see if you have access.  If you do not have access, click the request more access bottom and select the facility.  You will still need approval for this facility before you can request event access.

Q: What should I do if I forgot my password?
A: You can go here, enter your email address and your password will be reset and a new one will be sent to you.

Q: If I am a representative of a media outlet, am I entitled to a media credential?
A: No. Due to the volume of requests we receive per event, we research and evaluate the media outlet as well as its coverage in previous years among other factors. Also, if you are not on assignment for that particular media outlet, you will not be granted a media credential.

Q: If this is my first time applying to SMI Credentials, why do I need to fill out an information form to gain access to just apply for a media credential?
A: The form gives us the proper information in helping determine the status of the request as well as pertinent contact information. Once you have applied and received a password, you no longer will need to fill out an information form since we keep them on file. If you apply for all SMI Facilities and are approved then you have access to all events. If you do not require access to all facilities and request it, your request for system access will be denied. Only request access for tracks that you need access for.

Q: How long should it take to receive a response to my credential request?
A: It usually is within one week or less. You can log on to the system and see the status of your request. If you need to contact a representative directly, you can find the contact information on the contact page.

Q: How will I be informed on whether my media credential request has been accepted or denied?
A: You will receive an email once your request has been approved or denied. You can also log on to the system and see your request status at any time.

Q: Who makes the decision on who is approved or denied for media credentials?
A: It is a collective effort between the public relations department and credentialing department. Many of the requests are researched and evaluated by the group and a final decision is made on whether to approve or deny the request.

Q: What is your credential policy regarding freelance work?
A: We do not grant credentials for freelance work. All media must have a letter of assignment from a media outlet to be considered.

Q: Why can’t you send my media credential in the mail prior to my arrival?
A: Paper media credentials cannot be sent through the mail prior to the event because each recipient of a credential must sign the proper liability waiver for issuance of their credential. If you have a hard card we will be able to send your parking pass prior to the event.

Q: What if I have a special request for the race weekend that I would ask that you consider?
A: As part of the application process we have added an area for notes on the form should you require anything additional for race weekend.

Q: If I am a hard card holder would my parking and access stickers be sent to my media outlet’s main office?
A: If you work from home please make sure you are specific in the note section that we send them to your home address. Please also make sure you provide a physical address since UPS does not deliver to a P.O. Box.

Q: What is your credential deadline?
A: Credential deadline is usually 2-4 weeks prior to the event. Each event will have a deadline date posted on the event list.

Q: What happens if I miss the deadline for media credentials?
A: Once the deadline for media credentials passes you may still apply for them and these requests will be reviewed on a case by case basis.

Q: Where do I go to pick up my media credentials once I arrive at the track?
A: Please go to the contacts page where you can find a link for each of the facilities maps.

Q: What is the earliest time I can pick up my credentials?
A: Credential office hours will be posted 2 weeks before the event.

Q: Can I review my credential request status online?
A: You can log on to review the status of your credential request at any time.

Q: What if I need to make a change to my credential request?
A: You can only make changes to your credential request before you hit the submit for approval button. After that you will have to contact the individual track's credential contact to make anychanges.
